The CHAS Shop:

The Shop will be open on Sunday 10 and Sunday 17 June between 11.30 am and 1 pm. Thereafter it will be closed until early September, the date to be announced closer to the time.

If you need to purchase anything for your plots, including the last few tomato and other plants, please visit the shop over the coming two weekends.

Thames Water:

Thames Water have witten to the Society to inform us of improvement work they are carrying out in the area starting on 18 June for approximately eight months.

They may need to turn our water off as part of this renewal work. However, they will give us notice if this is necessary. As we are unsure how much notice we might be given, we ask that all tenants do their bit to check that the water tanks near their plots are always kept topped up and covered to reduce evaporation.

If anyone does notice any changes to water, or water going off unexpectedly, please e mail us at this address.

There may also be some traffic management in the area around Granville Rd Crewys road and Llanelly Road during this time.

A copy of the letter will be displayed on the site noticeboards.

On 25th May 2018 the GDPR, new data protection legislation within the European Union, will come into force. The GDPR is a substantial piece of legislation designed to protect the right of people to privacy in the internet age when information about them is being collected and processed. It applies to all personal data held by the allotment society in any form; this means that it covers paper records as well as electronic ones.

Tenants’ contact details, allotment history and other information relevant to their tenancy and membership of the Society will be stored by the Society and may be kept on computer and/or on paper. This information will be used only for the management and administration of the Society and the site and will not be disclosed to third parties unless the Society is required to do so by law or in compliance with legal obligations. The Tenant may inspect the information held by the Society about him or her on request.

1. At our recent inspection it was clear that not all plot holders realise that they are responsible for the paths around their plots. Grass should be kept short so it is easy and safe to walk down the path. You should either invest in the right equipment or borrow from a friendly plot holder!!

2. It was also difficult to walk down some paths due to overhanging brambles. These should not have been planted so close to the path, however at this time of year the old growth should be cut out and the new tied in, which hopefully will improve access next year.

3. As you will know, most tomatoes are now blighted. To reduce spread for next year, these plants should be burned or taken home to put in the green waste bin.

4. You may have noticed the post box on the main gate. The site now has a post code NW2 2NH

5. The first post we received was for a planning application for change of use of the commercial units overlooking the site to residential use

6. If you use the toilets and find the toilet roll is running out let me know as we do have replacements, text or call 07980 571086

Following the recent committee meeting there are a number of items of news and notes

1. After a recent incident we now have to insist that all dogs are kept on leads at all times, this is both when on your plot and when walking around the site.

2. The society machinery is for sale – see attached list. It will be available for viewing this Sunday 16 April

3. There were a couple of thefts from sheds recently, if your plot borders the boundary please consider planting some prickly hedging to deter people coming in. Blackthorn, hawthorn and pyracantha work well.

4. There is one vacant half plot 26E and no takers from the wait list, so if you want some more space let Jo Goldsworthy know

5. The next plot inspection will be on Wednesday 19 April

6. A Working Party to cut back vegetation on the west boundary will take place on Saturday 6 May, meet at 11.00 at the boundary

7. Another complaint - someone has been defecating on and near the communal area at the north of the site, this is very antisocial as it smells and attracts flies. Now that there is a chemical Loo on site this should be used.

8. There will be another tea party on Sunday 11 June, more information nearer the date

9. The society should have a safety officer, a checklist of hazards to be looked out for is attached. If you would like to take up the challenge let me know.

Hope you all have a productive growing season

This letter is to notify you of the date of the meeting and to invite you

a) to submit motions for discussion and

b) to nominate candidates for election to the committee.

The procedure for submitting motions and nominations are given below. They should be sent to the secretary by Saturday 4 March, via the shop letter box, in person if you see her on site, or by post or hand to 53A Nant Road, NW2 2AL. A nomination form is enclosed with this notification.

 Each motion must be accompanied by the name, address and signature of the member who is proposing it.

 A member’s request may be accompanied by a statement which shall not exceed 1000 words and this statement will be sent to all tenant members with the notice of the meeting.

Committee election

The committee consists of eight elected and two co-opted members. The members of the committee will appoint a chairman and other officers from among their number. Our constitution includes rules for the election, as follows:

 The chairman of the society shall act as returning officer.

 Tenant members may nominate themselves or other tenant members for election.

 Nominations must be proposed and seconded.

 Nominations must be countersigned by the nominee indicating their willingness to stand

 Nominations must be received in writing by the secretary at least twenty-one clear days before the meeting.

 If there are fewer nominations than vacancies, then all candidates are elected without a ballot.

 If there are more nominations than vacancies, there shall be a secret ballot using ballot papers prepared in advance by the secretary.

 The count shall be conducted by the chairman assisted by a minimum of two scrutineers. Scrutineers shall be appointed by the meeting and must be neither candidates in the election nor members of the outgoing committee.

The closing date for submission of motions and committee nominations is Saturday 4 March.

The agenda and associated papers will be sent to you about a fortnight before the AGM, so that you will have plenty of time to consider any proposals prior to the meeting.
